Donor Privacy Policy
Effective August 10, 2026
People who give money to a small organization are trusting it with two things: the money, and their name. This page is about the second one. It covers what we do with donor information, what we will not do with it, and the one circumstance in which your name might travel outside this organization — along with how to prevent that permanently, in one sentence, at any time.
What we collect about donors
Your name, mailing address, email address, and the amount, date, and designation of your gift. If you tell us why you gave — a horse you follow, someone you are giving in memory of — we keep that too, because it matters.
We never see your card number. Payments are processed by Stripe and card data never touches our systems.
What we do with it
- Process your gift and send you a receipt
- Keep the financial records a nonprofit is required to keep, and report accurately in the annual February report
- Track restricted gifts separately, so a gift to the Rapha Fund is spent on veterinary care and nothing else
- Thank you, and tell you what your gift did
- Ask you again, if you have not told us to stop
What we will not do
We do not sell donor information. Not to a broker, not to a vendor, not to anyone, at any price.
We do not publish what you gave. If we ever list donor names publicly, it will be with permission asked in advance, and never with amounts attached unless you specifically want that.
We do not share your email address or phone number outside this organization. This one has no exceptions. It applies to the cooperative arrangement described below as well.
We do not use your gift to buy you influence. Supporting the herd does not confer ownership, a claim on a foal, or a vote in breeding decisions — and we do not sell the right to name a horse at any amount.
Mailing list exchange
Nonprofits find new supporters partly through cooperative databases, in which participating organizations share donor names, postal addresses, and giving histories. We do not participate in one today, and we may in the future. If we do, only your name, postal address, and giving history would ever be included — never your email address, phone number, payment information, or anything you told us in confidence — and we will say so here before contributing a single record.
To be excluded permanently, write to info@treeoflifehollow.com. One sentence is enough, no reason required, and it carries forward to every future gift.
Anonymity
You can give anonymously. Tell us and we will keep your name out of any acknowledgment, report, or listing. We still have to hold your information internally for our records and your receipt, but it stops there.
Receipts and acknowledgment
Every gift gets a receipt showing our legal name, EIN, the amount, the date, and a statement of whether anything was provided in return. For gifts of $250 or more this written acknowledgment is what the IRS requires you to keep in order to claim a deduction, so hold onto it. If you need a replacement or an annual summary, ask.
Restricted gifts
If you designate a gift for a specific purpose — the Rapha Fund being the current example — it is tracked separately from general operating money and spent on that purpose. If circumstances ever made that impossible, we would contact you and ask before redirecting your gift, not after.
Mistakes and refunds
If you gave the wrong amount, meant to give once and set up a monthly gift by accident, or simply changed your mind, write to us. We will refund it. Recurring gifts can be cancelled at any time and we will not make you hunt for the link.
Seeing and correcting your record
You can ask what we hold about you, ask us to fix it, or ask us to remove you from future contact entirely. Financial records we are required to retain will stay in our books, but your name comes off every list.
Review
The board reviews this policy annually, at the same meeting where the February report is approved. Material changes are announced on this site and in that report before they take effect, and any opt-out on file carries forward.
